Abstracts, posters and video presentations will be available for UIC affiliates to view online and will have the opportunity to submit questions to author(s).

- Medical Students
- PhD, MD-PhD, MS, combined degree and other graduate students
- Postdoctoral Fellows & Residents
- Research Assistant Professors/Scientific Staff
- Undergraduate students working in the lab of a COM faculty member may present but are not eligible for prizes
Special Notes:
- First and Second Prizes will be awarded for posters under each category. To qualify for the awards, you must provide an abstract, a poster and a video presentation.
- Posters presented at the CCTS, Cancer Center, GEMS, Peoria and Rockford campus research days are welcome.
- Undergraduate students working with a faculty member in COM may submit but are not eligible for prizes. No prizes will be given in the “other” category

Each submission must contain a video, poster, and abstract. Without these three, your submission will not be complete and will not be considered.

Abstract Submission
- Abstracts should be no more than 1500 characters in length
- Should be submitted via the application form ONLY.
- Please write out any special symbols.

Poster Submission
Your poster must meet the following criteria:
- The filename should be the Presenting Author’s name formatted “lastname_firstname” in a PDF format ONLY. For multiple submissions, each filename should be appended with a number. Eg: ‘lastname_firstname-1’, ‘lastname_firstname-2’.

- The format should be BOX link with share permissions set to “People with Link.”

Video Submission
Your video must meet the following criteria:
- The filename should be the Presenting Author’s name formatted “lastname_firstname”. For multiple submissions, each filename should be appended with a number. Eg: ‘lastname_firstname-1’, ‘lastname_firstname-2’.
- The video size should be 500 x 400, Medium.
- The video should be 5 minutes long in recording time.
- File size should be no larger than 240MB.
- Acceptable formats are mp4, mov. Avoid using video inside a power point if possible (but these are still acceptable).
- The format should be BOX link with share permissions set to “People with Link.”

If you want to reserve a room for making your video, you should follow the student study reservation process.

Form Instructions
To access the submission form, you will need to log in using your NetID and password. The form is a multi-page form with required fields. You have the option to save and return to the form at any point. The minimum required fields for submission are as follows:
- First Name
- Last Name
- UI COM Campus
- Department
- Submission Category
- Does your research involve Human subjects?
- Does your research involve Animals?
- Abstract Title
- Abstract
- Poster Link (Please provide a proper URL)
- Video Link (Please provide a proper URL)

Can I submit an abstract/poster on a project that is associated with another institution?
Yes, but please make sure to get approval from the project lead.
Can I submit an abstract/poster that has already been presented elsewhere, for example at another conference?
Yes

Are videos required?
Yes
Are there specific sizes for the poster?
There are not specific dimensions required since this is online competition and the judges will just be looking at a pdf of your poster. Most applicants use the standard PowerPoint size of 48 x 36. For help on poster formatting, please click here.
Is there a character limit for submission?
The character limit just refers to the body of the abstract, not the titles/authors. You’ll fill out the title, authors, etc. in other sections of the online application. You should only be prompted by the system to type in (or copy & paste) the text of your abstract in the appropriate text box in the online application.
What should the video include?
For example, do you want individuals to go through their poster with the video? Or do you want just a run through of the research completed on a PowerPoint and talked through on video format? You can do either. Some applicants do a PowerPoint presentation video. Some show their poster and just record their audio presentation. Others just do a video presentation without showing their posters or a PowerPoint. We’ve had all variations of these win so all presentation styles are welcome.

Poster Printing (For selected top posters only)
If your poster is selected as one of the top posters to be presented on January 30, the College of Medicine will cover the printing expenses for your poster.
Posters must be printed on campus through the Office of Creative and Digital Design Services. To initiate the printing process, please follow these steps:
- Visit the Creative & Digital Services website.
- Although you won’t need to log in or create an account, you must provide your contact information.
- Under the project name, input “COM Research Forum Poster.”
- For the Publications Job/Estimate Number, use “P2400520.”
If your department has already paid for poster printing, you can seek reimbursement through an internal journal voucher transfer. Please contact Travis Romagnoli at tromag1@uic.edu for assistance.
Please note that we can only reimburse individuals for poster printing if it was done exclusively through the Office of Creative and Digital Design Services. We will not be able to reimburse you if you printed elsewhere.
